Artificial intelligence (AI) is rapidly changing how RTOs manage everyday operations, from administration and learner support through to compliance monitoring, resource development and reporting. This session will explore how AI can be used responsibly and practically to accelerate workflows, automate routine functions, improve communication and support more consistent decision-making across a RTO. The session will focus on realistic, current use cases that can help RTOs reduce manual workload and increase innovation, while maintaining quality, accuracy and compliance oversight. Both free and for fee options will be shared.
The session will also highlight the importance of governance, privacy, validation and human oversight when embedding AI into RTO systems. Considerations for where AI can add value, where it should not replace professional judgement, and how RTOs can establish clear boundaries for will be presented.
By the end of the session, participants will gain a practical understanding of how AI can be effectively and ethically introduced into RTO operations and will be provided with key steps for ongoing implementation success.

- Recognise specific AI tools that can support workflow acceleration, automation, reporting, and trend analysis.
- Explain how AI can assist with standard RTO functions such as drafting, summarising, scheduling, tracking, reporting and evidence management
- Evaluate which RTO processes are suitable for AI support or automation and which require stronger human oversight.
- Apply basic governance principles to the use of AI, including privacy, accuracy, validation, transparency and risk management.
- Develop ideas for introducing AI into RTO operations in a controlled, purposeful and compliance-conscious way.
